WHS Audit Software — Plan, Conduct, and Close Out

Schedule audits against WHS legislation and ISO 45001 requirements, conduct fieldwork on any device, classify findings by severity, and track corrective actions through to verified close-out.

Audit programme planning

Build annual audit programmes that cover WHS legislative requirements, codes of practice, and management system clauses with risk-based scheduling.

Audit programmes are planned based on risk priority, regulatory requirements, and previous audit findings. High-risk areas and areas with previous nonconformities are scheduled more frequently. The programme tracks coverage to ensure no regulatory requirement or management system clause goes unaudited over the cycle.

Mobile fieldwork

Auditors conduct fieldwork on tablets or phones using structured checklists with photo evidence, voice notes, and GPS location capture.

Audit checklists are configured per audit type and can be completed offline in areas without connectivity. Observations are recorded with photo evidence, and findings are classified during fieldwork as conforming, minor nonconformity, major nonconformity, or opportunity for improvement. Completed audits sync automatically when connectivity is restored.

Corrective action management

Every finding generates a corrective action with root cause analysis, responsible person, due date, and evidence of effectiveness.

Corrective actions follow a structured workflow: the finding is documented, root cause analysis is completed, the corrective action is defined and assigned, implementation is verified with evidence, and effectiveness is confirmed after a defined period. Overdue actions escalate automatically. The full lifecycle is auditable.

Trend analysis and reporting

Audit results are analysed over time to identify recurring themes, track improvement trends, and report to management on WHS performance.

Dashboard views aggregate findings across audits by category, location, severity, and trend direction. Management reports show whether the number and severity of findings is improving or deteriorating over time. This data feeds into management review as required by ISO 45001 Clause 9.3.

What happens without structured audit management

An internal audit identifies that welders are not using the correct respiratory protection for manganese fume exposure. The finding is noted in a Word document and emailed to the production manager. Three months later, a SafeWork NSW inspector asks to see your audit findings and corrective actions. The Word document cannot be found. There is no evidence the finding was actioned, no root cause analysis, and no verification of effectiveness. The inspector issues an improvement notice for failure to manage a known risk.

How It Works

1

Plan

Build an annual audit programme based on risk priority, regulatory requirements, and previous findings. Schedule audits and assign auditors.

2

Conduct

Complete audit checklists on any device with photo evidence and real-time finding classification. Works offline for field locations.

3

Close out

Track corrective actions from root cause through implementation to effectiveness verification. Trend analysis identifies systemic issues.
