Every SWMS template is structured by a CIH with specific hazard identification, control measures aligned to the hierarchy, and references to applicable WHS Regulation sections and Codes of Practice. Mobile sign-on
Workers sign the SWMS on their phone before starting work. GPS-stamped, time-stamped, immutable audit trail.
Each worker signs on their device, creating a record with their identity, the specific SWMS version, the date and time, and the GPS location. This creates evidence that the worker read the SWMS for the task at the location before commencing work — the standard SafeWork inspectors check.
Version control
When a process changes, the SWMS updates. Workers re-sign. Old versions archived with full audit trail.
Any change to a SWMS creates a new version. Workers must re-sign the updated version before continuing work. Previous versions are archived and accessible for audit purposes, creating a complete history of the document and who signed which version.
What happens without proper SWMS management
A printed SWMS sits in a folder on the foreman's desk. Workers signed it 6 months ago. The process changed twice since then. SafeWork asks a worker: "Have you read the SWMS for this task?" Worker: "What SWMS?"
