Toolbox Talk Management — Deliver, Record, Track

Access a library of industry-specific toolbox talk topics, record attendance digitally, track participation across your workforce, and demonstrate consultation obligations under the WHS Act.

Industry-specific topic library

Pre-built toolbox talk topics aligned to your industry hazards, seasonal risks, and regulatory changes ensure relevant and timely safety conversations.

The topic library covers common workplace hazards organised by industry. Topics include discussion points, key messages, and reference to applicable WHS Regulation 2025 provisions. New topics are added when regulatory changes occur, such as the December 2026 WEL transition, ensuring your toolbox talks address current requirements rather than outdated information.

Digital attendance and acknowledgement

Workers sign attendance on any device with timestamp and location recorded. No more paper sign-on sheets that get lost or damaged.

Attendance is captured digitally with each worker's acknowledgement time-stamped and stored against their training record. Supervisors can see at a glance who attended and who was absent. Absentees are flagged for follow-up delivery of the same topic before they commence the relevant work activity.

Participation tracking and gap analysis

Track which workers have received which topics over time. Identify gaps where critical safety information has not reached all relevant workers.

The system maintains a matrix of workers against topics delivered. Managers can identify workers who have missed critical topics such as working at heights safety or chemical handling procedures. This is particularly valuable when SafeWork NSW inspectors ask whether all workers performing a specific task have received relevant safety information and training.

Consultation evidence

Toolbox talks with recorded attendance and discussion points provide documented evidence of worker consultation under WHS Act requirements.

Sections 47 and 48 of the WHS Act require PCBUs to consult with workers on WHS matters. Toolbox talks are a primary mechanism for this consultation. The system records not just attendance but also discussion points raised by workers, creating an evidence trail that consultation occurred and worker input was considered in WHS decisions.

What happens without structured toolbox talk management

A supervisor conducts a toolbox talk about working at heights before a roof installation. Attendance is recorded on a piece of paper that is placed in a folder. Two weeks later, a worker falls from the roof. SafeWork NSW investigates and asks for evidence that the worker received the toolbox talk. The paper sign-on sheet cannot be found. Even if it could be found, there is no record of what was discussed or whether the worker acknowledged understanding the content.

How It Works

1

Select topic

Choose from the industry-specific topic library or create a custom topic for site-specific hazards and upcoming work activities.

2

Deliver and record

Deliver the toolbox talk and capture attendance digitally. Workers acknowledge on any device with timestamp and location.

3

Track and report

Monitor participation across your workforce. Identify gaps, follow up absentees, and generate consultation evidence for audits and inspections.
